What's it like to work at SONNY+ASH?

Someone always comes early and someone always leaves late. When we are focused, you can hear a pin drop at the studio and when we're laughing, we are loud. Conversations about unicorns, spaceships and anything bizarre are welcome here. We don't ask permission, we ask forgiveness. Our server room goes by many names and our servers are named after people. We did yoga, we did ping pong, we've moved onto Exploding Kittens and we'll be onto something else soon. Some days we eat at our desk and other days we eat together. SONNY+ASH is now accepting applications for an office manager. This position communicates in a clear, professional and articulate manner. Candidate must be a quick learner, detail oriented, good at multi-tasking, ability to work with bleeding-edge technology and work with very little supervision.

  • Performs all work and makes decisions with minimal supervision and/or instructions.
  • Communicates in a clear, professional and articulate manner. Able to communicate complex information/data in a simple manner both orally and in writing.
  • Represents the owners by welcoming visitors, ensuring facility is organized, reviewing correspondence; arranging company dinners, lunches and other corporate functions; answering questions and meeting requests directed to the owners.
  • Support management in recruitment, interviewing and the onboarding process.
  • Support IT with new computer build-outs, software updates, and issues that may arise in technology.
  • Manage the facility. This may require you to move, construct, and get on a ladder when needed.
  • Schedules and coordinates onsite and offsite meetings including but not limited to managing invitations, tracking responses, coordinating speakers, entertainment, transportation, dining, and presentation materials, venue and tracking budgets, etc., in accordance with manager and/or staff instructions.
  • Prepares, processes, and reconciles all expense reports, financial reports, credit card statements, invoices, purchase orders, accounts payables, etc. with minimal oversight and in accordance with Company policies and procedures.
  • Record data for each employee, including such information as addresses, weekly earnings, absences, amounts for sales or production, supervisory reports on performance, and dates of and reasons for terminations; administer open enrollment and maintain information regarding employee benefits.
  • Process, verify and maintain personnel related documentation, including staffing, recruitment, training, grievances, performance evaluations, classifications, birthdays and employee leaves of absence.
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies and Arranges for department equipment/IT repair and/or maintenance.
  • Acts as a resource for managers and staff on Company policies and procedures. Provides regular updates to departments when changes/updates occur to any Company policies and procedures.
  • Arranges corporate travel and meetings by developing itineraries and agendas; booking other transportation; arranging lodging and meeting accommodations.
  • Create, and organizes client projects on external project management system and internal drives - This may include accumulating and assembling assets prior to project starts.
  • Performs miscellaneous filing, organizing, faxing, mailing, printing, duplicating, etc. Maintain and update web and social media content.
  • Actively manages calendars of manager and/or staff.
  • Sensitivity to confidential matters may be required.
  • Completes other special projects as directed by manager or staff - Performs other duties as assigned.
  • A Bachelor degree or, in lieu of Bachelor's degree, four years of administrative assistant experience is required.
  • Strong computer literacy with intermediate skills in Microsoft Outlook, Word, Excel or PowerPoint. Working knowledge of Quickbooks is a plus.
  • Ability to multi-task, problem-solve and operate in a fast-paced environment.
  • Must be detailed oriented and exhibit Strong organizational skills.
  • Excellent verbal and written communication skills; showcase good client relationship skills.
  • Understanding of small-size company structures.
  • Demonstrates professionalism and exude self-confidence.
